A new way to import a logo into your documents

They have added a few new buttons in 8.1.X, so it looks a little different now, you can actually import jpegs from the Shared Images folder.

The NEW way looks much easier (assuming you are 8.1.x): On your master, drop a jpeg file into the shared images folder. On your MASTER, Go to Admin > Document Preferences Choose the Format document from the Dropdown menu (You can use the default, as the image will be available for any document later)

Click on the Customize Form button Click on the Images tab On the right side, Choose the “Shared Image” radio button Choose the Browse button The Select A Shared Image window appears Select the logo you want (You may need to hit the refresh button)

Now your logo will be available to all documents, and you need to update the pricing folders. I imagine there is file size limit, but I’m not sure what that is at the moment.

Enhancement Request: Add Bin Location to the Stock Picker

I don’t know about you, but managing paper can be a pretty daunting task considering that we over 700 Stock Definitions and that over 150 of those are Inventory Items that we keep on the floor (and/or the shelves etc.) We have about 20,000 square feet to manage with lots of shelf space and floor space, so paper tends to be difficult to find if you don’t know where it is. We solved that problem with the Bin Location field in the Stock Definition under the Inventory tab.

We have indicated where each stock is located using the Bin Location field and printed out a list. However, even this list is only a snapshot at where the paper is at any given time. Paper moves quickly in and out of the production area so the printed list isn’t valid for long. Unfortunately, the Bin Location field isn’t viewable in the Stock Picker list view so you can only view the location if you open the definitions one at a time, which is a real pain.

So please join me in requesting PrintSmith to add the Bin Location field to the Stock Picker!

Wait for PrintSmith 8.1.7 ……

Wait for PrintSmith version 8.1.7 if you still haven’t updated to 8.1.6. There is a serious pricing error with the “sets” function typically used for carbonless sets. If you haven’t upgraded from 8.0.x I would wait also.

EFI Connect is only 2 months away (April 18th) and it doesn’t look like we are going to the release of the next major upgrade before then. I believe the plan was to have version 8.2 released by the end of the 1st quarter 2010. Perhaps that is why the bug fixes have been taking 6 weeks when they used to take 2 weeks?

Fiscal Year End Closeout Procedures

(Hint: Make a folder called PrintSmith Year End 20XX to store the PDF’s & Backup you will be making.)

Here is the short list “cheat sheet”:

  1. Closeout
  2. Monthly Closeout
  3. Sales Summary (last 12 months, PDF)
  4. Aging Report (PDF)
  5. Sales Ranking Report (PDF)
  6. Backup, Label & Store (in a cool dry place, off site)
  7. Add’l Reports, if desired

Here is the detailed list:

On your last business day, perform a Closeout.

Once complete, perform a Monthly Closeout.

Then, Go to Reports > Monthly Sales.

Perform a year end composite report of every monthly closeout for 20XX by highlighting the months from January – December, (Or, the months of your Fiscal Year.) Choose the Sales Summary from the pull down menu and click Select.

Print the report. This is your Year End report. (Make a PDF)

Then run an AR Report (Aging Report) and be sure to print it and SAVE it. (Make a PDF too!) (The saved file will be stored in your archives folder for reference should you need it later.)

Then, Run the Ranking Report by going to Reports > Customer List.

Report Format > Sales Rank Year, Sort by > Sales Rank Year.

Save the Ranking list. (Make a PDF)

(Tip: The Ranking Report includes Postage so it is NOT completely

accurate!!)

In addition, with versions 7.2 & beyond you can now run Add’l Ranking reports. Go to Reports > Account Ranking to run reports like: Number of Orders, Sales by Sales Category, and Balance.

Quit out of PrintSmith and perform a Backup of the entire PrintSmith Folder.

Label and store this Backup separate from any backups done during the normal year. Especially since version 8.0 & beyond has a built in Backup Manager.

A good idea is to backup to a CD and label it 20XX PrintSmith Year End.

This also a good time to run Sales Analysis Report Writer reports for the year. (Make PDF’s)

Don’t Upgrade to 8.0.18 Yet!

There is a bug with a new feature on the Estimator Note Pad. In the past, you could always open the Estimator’s Note Pad, even if the invoice had been picked up, or “locked”. This latest version 8.0.18 does not allow this.  You can open it, but it is grayed out, and unusable.

Apparently, a few users wanted the Note Pad locked on voided invoices, and that new feature also grayed out, or locked, the Note Pad on picked-up invoices.

PrintSmith says it will be available again in the next release in about 30 days!
